Outlook is a critical component in today's organized corporate work force. Apart from it's main functionality which is working with Emails, I think the calender is the most significant feature it has. Think about for a moment how well are you utilizing the available features in Outlook 2007 Calender.
Well! basic things thing like creating an appointment, sending meeting requests, creating recurring meets, color coded calender items etc, i'm sure everybody or at least most are aware of. Just thought of bringing few more cool features into your attention.
Maintaining Multiple Calenders
| Figure 1: Showing 2 calenders enabled Figure 2: two calenders overlapped | In Outlook 2008 you can maintain multiple calenders. These can be shared calenders from the Exchange Server. But the cool part in this is, these calenders can give an overlap display so it's wicket cool to detect the clashing appointments. To Add a shared calender into your Outlook - Click the 'Open Shared Calender' in the navigation pane in the calender view
- Type the name of the calender, or click the 'Names' button to view the list of available shared calenders and select
To get the overlapped view - When you have multiple calenders, each calender will have a unique color.
- Each calender will have a tiny arrow on the top left corner. Click this arrow to combine it with the main calender
- this will basically give the main calender (or the currently selected calender) items in a prominant color and the other calender in a grayed out color (figure 2)
Insert Calender Option Have ya'll faced a situation you want to set up a meeting with somebody in a time slot fitting to both and how many times have you send mails up and down mentioning 'i'm free at this time, how about you?' etc. Outlook 2007 provides a great feature for a requirement/situation like this. When you are writing a new mail goto the Insert tab and click the Calender button. This will display the 'Send a calender via E-Mail' window. In this you can select the calender, date range and the amount of information you want to display for the receiver'. For an example if you want to inform the receiver about your schedule for the next 7 days just select 'Next 7 Days' for the Date Range. When you hit the OK button it'll create a summary view of your calender for the specified duration with time slots marked as bury or free. |
